NI Business AI Survey 2026 Privacy Notice

1. Who is responsible for your information?

MNTECH LIMITED, company number NI623155, trading as Galvia Digital, is responsible for the personal information collected through the NI Business AI Survey 2026.

In this notice, “Galvia Digital”, “we”, “us” and “our” refer to MNTECH LIMITED trading as Galvia Digital.

Belfast Chamber is supporting the promotion of the survey, and the Department for the Economy has provided input into its development. MNTECH LIMITED remains responsible for the personal information submitted through the survey.

2. What is the survey for?

The survey will help us understand how organisations in Northern Ireland are adopting and using AI, what results they are seeing, where they are encountering problems, how AI is being governed and what effect it is having on employment, recruitment and skills.

Responses will be compared with findings from the 2025 NI Business AI Survey where appropriate. The research will be used to produce a public report and findings event in early 2027. It will also give businesses, councils, policymakers and support organisations better evidence about the support businesses need.

3. What information do we collect?

The information comes directly from you when you complete the survey.

We collect information about your organisation and its use of AI, including:

  • Your organisation’s name.
  • Your position or level of responsibility.
  • Your job title, if provided.
  • Whether your organisation participated in the 2025 survey.
  • Your organisation’s sector, location and employee numbers.
  • Information about your organisation’s use of AI, policies, controls, projects, workforce, barriers and support requirements.
  • Your answers to optional written questions.
  • Your contact and communication choices.
  • Technical submission information generated by the form platform, such as the date and time of submission.

We collect personal contact details only where you choose an option that requires us to contact you. Depending on your choices, this may include:

  • Your first and last name.
  • Your work email address.
  • Your telephone number, if provided.

We do not ask you to provide sensitive personal information about yourself, customers, employees or anyone else. Please do not include names or other identifying details about individuals in your written answers.

If personal information about another individual is entered accidentally, we may remove or redact it.

4. Why do we collect organisation and contact information?

We ask for your organisation’s name and your position or level of responsibility to:

  • Validate survey responses.
  • Understand whether the survey is reaching people who can answer on behalf of their organisation.
  • Identify returning organisations where appropriate.
  • Support year-on-year analysis.
  • Prevent or investigate duplicate organisational responses.

We collect your name and work contact details only if you choose to:

  • Be contacted about your answers or invited to a follow-up interview.
  • Receive the survey results and invitations to future NI Business AI Surveys.
  • Receive separate emails about Galvia Digital services, events, funding, grants or business-support opportunities.

We will use your contact details only for the options you select. Declining any of these options will not prevent you from taking part in the survey.

Your organisation’s name and your personal contact details will not appear in the published report.

5. Our lawful bases for using your information

We rely on different lawful bases for different uses of your information.

Survey administration and research

We rely on our legitimate interests under Article 6(1)(f) of the UK GDPR to collect, validate and analyse survey responses.

Our legitimate interests are conducting research into business AI adoption in Northern Ireland, maintaining the reliability of the research, preventing duplicate responses and producing evidence that can inform business support.

Participation is voluntary. We have limited the personal information requested and will publish findings in aggregated or anonymised form.

Follow-up research

If you agree to be contacted about your answers or invited to an interview, we rely on your consent under Article 6(1)(a) of the UK GDPR.

Survey results and future surveys

If you ask to receive the results or invitations to future NI Business AI Surveys, we rely on your consent under Article 6(1)(a) of the UK GDPR.

Galvia Digital services and other updates

If you agree to receive emails about Galvia Digital services, events, funding, grants or business-support opportunities, we rely on your consent under Article 6(1)(a) of the UK GDPR. This permission is separate from taking part in the survey.

Legal and security requirements

We may process information where necessary to meet a legal obligation or protect the security and integrity of our systems and research data.

6. Do you have to provide this information?

Taking part in the survey is voluntary.

Core organisation and survey questions marked as required must be completed for the form to be submitted. We need this information to validate and analyse the response.

Personal contact fields will only be requested where you select an option that requires us to contact you. Where an email address is needed to fulfil that request, the relevant field must be completed. A telephone number remains optional unless clearly stated otherwise.

Optional written questions may be left blank. You can decline follow-up contact and communications without affecting your ability to complete the survey.

7. How will the findings be published?

Survey findings will be reported as aggregated or anonymised statistics and themes.

Neither you nor your organisation will be named, ranked or otherwise identified in the public report, presentations, publicity or findings event without separate permission.

We will not publish an identifiable quotation from your response without contacting you and obtaining specific permission.

8. Who can access your information?

Access to identifiable survey information will be limited to authorised MNTECH LIMITED personnel and contractors working on the survey who need it to administer, analyse or report on the research.

We may use service providers that process information on our behalf, including:

  • Monday.com, which hosts the WorkForm and response board.
  • Cloud hosting, storage and backup providers.
  • Customer relationship management systems.
  • Email and newsletter services, where you have requested communications.
  • IT support and security providers.
  • Professional advisers where required.

These providers must handle personal information securely and only for the services they provide to us.

Belfast Chamber, the Department for the Economy, promotional partners, councils and other stakeholders will receive aggregated or anonymised findings. We will not provide them with your identifiable response or contact details unless you separately agree or we are legally required to do so.

We do not sell personal information.

9. Where is your information stored?

Survey responses are collected through Monday.com and stored within MNTECH LIMITED’s Monday.com account. Information may also be stored in other authorised business systems where required for analysis, communication or secure backup.

Monday.com operates internationally and uses teams and subprocessors in several countries. Depending on our account configuration and the services involved, personal information may be processed outside the UK.

Where a restricted international transfer takes place, we use an applicable safeguard or transfer mechanism. This may include UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to the European Commission’s Standard Contractual Clauses.

10. How long will we keep your information?

We will retain identifiable survey responses for up to 24 months after the survey closes, until 13 November 2028. This allows us to complete the analysis, reporting, follow-up research and quality checks.

Contact details collected solely for follow-up research will also be retained for no longer than 24 months after the survey closes unless there is a legal reason to retain them for longer.

Aggregated or fully anonymised research findings may be retained indefinitely because they no longer identify individuals.

If you opt into future survey invitations or Galvia Digital communications, we will retain the contact details and permission record needed for that purpose until you unsubscribe, withdraw your consent or the relevant communication programme ends. We will review these records periodically.

We may retain a minimal suppression record after you unsubscribe so that we can ensure you are not contacted again for that purpose.

11. How do we protect your information?

We use reasonable technical and organisational measures to protect personal information against unauthorised access, alteration, disclosure, loss or destruction.

These measures include access restrictions, password and account controls, secure cloud services, staff confidentiality requirements and limiting access to people involved in the research.

12. Your rights

Depending on the circumstances and the lawful basis being used, you may have the right to:

  • Ask for a copy of the personal information we hold about you.
  • Ask us to correct inaccurate or incomplete information.
  • Ask us to delete your information.
  • Ask us to restrict how your information is used.
  • Object to processing based on our legitimate interests.
  • Withdraw consent for follow-up or communications at any time.
  • Ask for information you provided to be transferred where the right to data portability applies.

Withdrawing consent will not affect processing that took place before consent was withdrawn.

Once a response has been fully anonymised and can no longer be linked to you, we may be unable to locate or remove it.

13. Your right to object

You have the right to object to our use of your personal information where we rely on legitimate interests.

If you object, we will stop processing your personal information unless we can demonstrate compelling legitimate grounds to continue or the information is needed for legal claims.

14. Changing your communication preferences

You can withdraw any optional permission or change your communication preferences at any time by:

Each permission is separate. For example, you may choose to receive the survey report without receiving emails about Galvia Digital services.

15. Automated decision-making

We will not use your survey response to make a solely automated decision about you that has legal or similarly significant effects.

17. Changes to this notice

We may update this notice if the survey, our service providers or our legal obligations change. The latest version will be published at the same web address, with the revision date shown at the top.
