Free planning resources for business and IT leaders
Free digital transformation blueprint, templates and toolkit
Assess your current systems, choose a worthwhile improvement and plan the first test. This free digital transformation toolkit includes a practical blueprint, editable templates, a roadmap and an Excel calculator for costs and benefits.
ROADMAP / COMPLETED EXAMPLE EXCERPT
Start with one workflow.
- Days 1 to 30
- Map how orders move from CRM to fulfilment.
- Days 31 to 60
- Test one supported transfer for one order type.
- Days 61 to 90
- Compare results and decide whether to expand.
Get the planning pack
Make the next decision clearer.
Use the blueprint to understand the approach, then complete the worksheet that resolves your next question. The download brings the guide and templates together in one ZIP file.
Email is required to request the pack. Marketing emails are a separate, optional choice.
Built for a practical planning conversation.
A useful plan explains what happens today, what needs to improve and how you will judge the first change. It makes ownership, costs and dependencies visible before you commit to a larger project.
For background, read what digital transformation means and our digital transformation strategy guide. Both are available without a download.
Inside the download
Four parts of a practical transformation plan.
The refreshed pack keeps the original focus on strategy, self-assessment, ROI and project management. Each part produces something you can discuss with the people responsible for the work.
A blueprint and strategy templates
The 22-page Digital Transformation Blueprint explains how to move from a business problem to a bounded pilot. Use the Strategy Templates to set a SMART goal and record the baseline, intended outcome, options, costs, dependencies and investment decision.
The editable Digital Transformation Roadmap includes a blank 90-day planning table and a completed order-entry example. Each phase has an owner and a decision before the next commitment.
Current-state self-assessment
Inventory the applications, spreadsheets, information and hand-offs involved in one workflow. Record strengths, gaps and constraints, then check readiness with evidence and an owner for the next action.
The Current State Assessment includes systems inventory, readiness, SWOT and gap tables. It supports an early planning discussion; it is not a validated maturity benchmark or a security audit.
An ROI and capacity calculator
The Excel workbook models one-off cash costs, monthly running costs, the first month of benefit and the proportion of benefit you expect to realise. Choose a planning horizon from 1 to 120 months, then review the monthly schedule and annual cash summary.
Staff hours released and their indicative value are shown separately from cash savings. The example inputs are fictional and can be replaced with your own assumptions.
Project delivery and review resources
The Delivery and Review Plan provides editable tables for pilot scope, acceptance criteria, actions, risks, weekly check-ins, support and measurement. Record the baseline and current result before deciding whether to continue, change, expand or stop.
You can transfer the agreed actions into your existing project tool. The pack contains Word planning tables rather than prebuilt Trello or Asana boards.
| File | Format | What you can use it for |
|---|---|---|
| Digital Transformation Blueprint | PDF, 22 pages | Read the planning approach and worked cost-and-capacity example. |
| Digital Transformation Roadmap | Word and PDF, 2 pages each | Edit the blank roadmap; refer to the completed example. The PDF is for reading and printing. |
| Current State Assessment | Word, 3 pages | Map systems, check readiness, record strengths and investigate gaps. |
| Digital Transformation Strategy Templates | Word, 4 pages | Set a SMART goal, compare options, assign actions and plan stakeholder communication. |
| Delivery and Review Plan | Word, 4 pages | Agree pilot acceptance, responsibilities, risks and review measures. |
| Project ROI and Capacity | Excel, 3 sheets | Change the horizon and assumptions; inspect monthly cash flow and the annual summary. |
Open DOCX files in Word or a compatible editor, XLSX in Excel or a compatible spreadsheet application, and PDFs in a PDF reader. The files do not contain macros. Keep a blank copy before adding your organisation’s information.
How to use the toolkit
Work from the problem to a small first test.
Begin with the document that resolves the next decision. Bring in the people who use and support the workflow.
- Understand the current process. Record the work, systems, people and evidence in the assessment.
- Choose a worthwhile improvement. Compare options, effort, cost, risk and readiness in the strategy worksheet.
- Estimate costs and benefits. Replace the calculator’s fictional inputs and keep staff capacity separate from cash savings.
- Plan the first pilot. Use the roadmap and delivery plan to agree an owner, acceptance criteria and a review date.
- Review before expanding. Compare results with the baseline and record the reason for the next decision.
Who should use this toolkit?
Owners, directors, operations managers, IT leaders and project managers can use it to structure an early conversation about business improvement.
It is useful when a team recognises a problem but has not agreed what to change first. The planning horizon can be adapted to the real work; the roadmap’s 90 days are not a promised delivery schedule.
Why Galvia developed these resources
Galvia Digital is a Belfast software engineering and digital transformation partner working across custom software, integration, legacy modernisation, cloud, data and connected systems.
Our published work includes ASM’s desktop-to-cloud modernisation and McFarland Consulting’s connected monitoring platform. These projects show how a defined operational problem shapes the engineering.
Questions about access and use
What is included in the digital transformation toolkit?
The ZIP contains seven resource files: a blueprint PDF, a roadmap in Word and PDF, three further editable Word worksheets, and an Excel ROI and capacity workbook. A README explains the suggested order of use.
Is the toolkit free?
Yes. This is a free planning resource. Bespoke advice, technical investigation and software delivery are scoped separately.
Can I customise the templates for my organisation?
Yes. The four Word files contain editable text and tables. The Excel workbook has amber input cells for your assumptions. The PDFs are for reading and printing; they do not contain interactive form fields.
How do I get the download?
Choose Get the free toolkit and complete the request form. The ZIP link appears after the request is accepted. If the file does not open automatically, use the link in the confirmation.
Will requesting it subscribe me to marketing emails?
Marketing emails are a separate, initially unticked choice. Access to the toolkit is available whether or not you select it.
Does the calculator predict the return on my project?
It calculates a simple scenario over a chosen horizon of 1 to 120 months from the assumptions you enter. It separates cash benefits from staff capacity and shows when the cash position recovers within that period. It is not a validated forecast and does not model tax, discounting or working capital.
Can Galvia help with the next stage?
Yes. Tell us about the workflow or system constraint you have identified. We can discuss assessment, integration, changes to existing software or a separately scoped delivery project.
Talk through the problem
What needs to work better?
Tell us which process is slowing things down, which systems are involved and what needs to change. You do not need a finished technical specification.
- We start with the workflow and the business need.
- Detailed audits and implementation are scoped separately.
- A resource request does not commit you to a sales call.
